How To Navigate POS Sales

Introduction

This guide is part of the POS Functionality series, which documents the standard behaviour of the Enactor Point of Sale (POS) in Standard Configuration (SC) for Version 2.7.747.RC2.

The Sale function is the core operation of the POS, enabling operators to add items to a receipt basket and proceed to tender. Items can be entered in several ways: by keying or scanning a product code, by using the Rich Product Search (RPS) to locate items by description or category, or by using Unknown Item Sale to handle items whose barcodes are not recognised by the system.

The purpose of this guide is to demonstrate the steps to perform the following sale functions on the Enactor POS:

  • Keyed/Scanned Item Sale - adding items by manually entering or scanning their barcode
  • Unknown Item Sale - selling an item whose barcode is not in the system, using an MM Group reason
  • Rich Product Search (RPS) Item Sale - searching for a product by description, product ID, or selling code
  • Quantity Sell Item - entering a product and its quantity in a single operation

This guide covers the POS as experienced by the operator at the till. It does not cover Estate Manager configuration. All screens shown are POS terminal screens.


Overview

This guide covers the following sections:

  1. Keyed/Scanned Item Sale - Entering items by manually keying a product ID or barcode, or by scanning the printed barcode.
  2. Unknown Item Sale - Selling an item not recognised by the system, using an MMG reason code to categorise and price the item.
  3. Rich Product Search (RPS) Item Sale - Locating a product via the RPS screen by department, description, product ID, or selling code.
  4. Quantity Sell Item - Using the Quantity Sell function to enter both quantity and product code in a single step.

Keyed/Scanned Item Sale

The operator can key-enter a product ID or barcode, or scan the printed barcode, to add items to the receipt basket.

If an invalid barcode is entered, the POS will prompt with a warning message displaying unknown product.

Key-Entered Item

The operator manually types the product code or barcode using the numeric keypad on the Sale screen. Once entered and confirmed, the item is added to the receipt basket.

  1. From the Sale screen, use the keypad to enter the product code or barcode of the item.
  2. Press ENT to confirm the entry.
  3. The item is added to the receipt basket with its description, quantity, and price.

Scanned Item

The operator uses a barcode scanner to scan the printed barcode on the item. The POS automatically reads the barcode and adds the item to the receipt basket without requiring manual keypad entry.

  1. From the Sale screen, scan the item's barcode using the barcode scanner.
  2. The POS reads the barcode and adds the item to the receipt basket immediately.
  3. The item appears in the basket with its description, quantity, and price.

This completes the Scanned Item procedure.


Unknown Item Sale

The Unknown Item Sale function allows an operator to sell an item even if its barcode is not in the system or cannot be scanned. This is useful in situations where an item is not recognised by the system but a manager decides to sell it anyway.

The operator is prompted to scan the item and confirm its barcode state. A list of MM Group reasons is then presented, and the operator selects the appropriate reason. The operator then enters the item price, and once confirmed, the item appears in the basket.

Unknown Item Sale requires Manager privilege. A Sales Assistant cannot initiate this function - see the POS Functions/User Template Matrix in Guide 01 for privilege levels.

The following MM Group (MMG) Sale reasons are available:

Unknown Item Sale Procedure

  1. From the Sale screen, select Sales from the function buttons, then select Unknown Item Sale.
  2. The POS prompts the operator to scan the item or enter its barcode.
  3. Confirm the barcode state when prompted.
  4. A list of MMG reasons is displayed - select the appropriate reason.
  5. Enter the item price using the keypad.
  6. Press ENT to confirm the price.
  7. The item appears in the receipt basket.

Rich Product Search (RPS) Item Sale

Alternatively, the operator can search for a product via the Rich Product Search function, adding their selected product to the basket.

When accessing RPS, the display shows the four most-used departments as images with a description. This is configurable and the departments shown are changeable. From this screen, the operator can select a department or search for a specific product by entering a description, product ID, or selling code.

Searching for an Item

  1. From the Sale screen, press the PRODUCTS button in the header (or select Products from the function buttons).
  2. The RPS screen is displayed, showing up to four department images.
  3. Either select a department to browse its products, or enter a search term in the search field (description, product ID, or selling code).
  4. The POS displays matching results.
  5. Refine the search further if required.

Selecting an Item

Once the required product is located in the RPS results, the operator selects it to add it to the receipt basket.

  1. From the search results screen, tap the required product.
  2. A product detail or quantity entry screen may be displayed.
  3. Confirm the quantity (default is 1) and press ENT or the confirmation button.
  4. The product is added to the receipt basket.
  5. The POS returns to the Sale screen showing the item in the basket.

Quantity Sell Item

The Quantity Sell Item function enables an operator to input a product and modify its quantity within the same function. This is particularly useful when multiple units of the same item are being sold, as it allows the operator to efficiently adjust the quantity in a single step.

This function prompts the operator to enter the quantity and product code of the item. Once completed, the product appears in the basket with the quantity selected.

Quantity Sell Item Procedure

  1. From the Sale screen, select Sales from the function buttons.
  2. Select Quantity Sell Item from the Sales menu.
  3. The POS prompts the operator to enter the quantity.
  4. Enter the quantity using the numeric keypad and press ENT.
  5. The POS prompts the operator to enter the product code or barcode.
  6. Enter the product code or scan the barcode.
  7. Press ENT to confirm.
  8. The item appears in the receipt basket with the quantity entered.
