How To Navigate POS Store, Recall & Receipts

Introduction

This guide is part of the POS Functionality series, which documents the standard behaviour of the Enactor Point of Sale (POS) in Standard Configuration (SC) for Version 2.7.747.RC2.

The Store & Recall functions enable operators to temporarily save in-progress transactions and retrieve them for later processing. Transactions can be stored manually by printing a receipt with the transaction ID, or stored automatically when an operator logs out. The Receipts functions enable operators to reprint recent or archived transactions, produce gift receipts for selected items or entire transactions, and offer customers tax receipts or email receipts.

The purpose of this guide is to demonstrate the steps to perform the following functions on the Enactor POS:

  • Store by Receipt - storing a transaction and printing a receipt with the transaction ID
  • Store by User - automatically storing a transaction when the operator logs out
  • Recall by Receipt - recalling a stored transaction by scanning its transaction ID
  • Recall by User - automatically recalling a stored transaction when the operator logs in
  • Reprint Recent - reprinting a receipt for a recent transaction
  • Reprint Archive - reprinting a receipt for an older archived transaction
  • Select Items for Gift Receipt - marking specific basket items to produce a gift receipt
  • Request Gift Receipt Transaction - marking the entire transaction to produce a gift receipt
  • Request Tax Receipt - requesting that tax details are printed on the sale receipt
  • Request Email Receipt - sending a receipt to the customer's email address

This guide covers the POS as experienced by the operator at the till. It does not cover Estate Manager configuration. All screens shown are POS terminal screens.


Overview

This guide covers the following sections:

  1. Store by Receipt - Storing an in-progress transaction and printing a receipt containing the transaction ID for later recall.
  2. Store by User - Automatically saving a transaction when the operator logs out, ready to be recalled upon next login.
  3. Recall by Receipt - Retrieving a stored transaction by scanning the transaction ID printed on the stored receipt.
  4. Recall by User - Automatically restoring a stored transaction when the operator logs back in to the POS.
  5. Reprint Recent - Selecting a recent transaction from a list and choosing a printing option to reprint the receipt or related documents.
  6. Reprint Archive - Locating an older transaction by scanning or searching and choosing a printing option to reprint the receipt or related documents.
  7. Select Items for Gift Receipt - Marking individual basket items with a Gift tag so that a gift receipt is generated at the point of tender.
  8. Request Gift Receipt Transaction - Adding a Gift Receipt Requested tag to the entire transaction so that both a standard sale receipt and a gift receipt are produced.
  9. Request Tax Receipt - Flagging the transaction so that tax details are printed on the sale receipt.
  10. Request Email Receipt - Capturing the customer's email address so that the receipt is sent digitally after the transaction.

Store & Recall

The Store & Recall function enables operators to store transactions in a receipt and recall them later.

Transactions can be automatically stored when the operator logs out and recalled by scanning the transaction ID, if no items are present in the basket.

Transactions that have been automatically stored upon the operator's logout are recalled when the operator logs back in to the POS.

This functionality allows operators to temporarily save and retrieve transactions for later processing.

Store by Receipt

The Store Transaction function enables operators to store transactions in a receipt.

This feature will store the transaction and print a receipt with the transaction ID.

This functionality allows operators to temporarily save transactions for later processing and provides a physical record of the stored transaction.

Path: Store / Recall Options > Store Transaction


Store by Receipt Procedure

  1. From the Sale screen, add the items to the basket as normal.
  2. Select Sales from the function buttons, then select More, followed by Store / Recall Options.
  3. Select Store Transaction. The POS stores the transaction and prints a receipt containing the transaction ID.
  4. The basket is cleared. The printed receipt serves as the physical record for recalling the transaction later.

Store by Receipt - Store / Recall Options - navigate to Sales > More > Store / Recall Options and select Store Transaction to store the current transaction.

This completes the Store by Receipt procedure.


Store by User

The Store by User function enables transactions to be automatically stored by user upon logout.

This feature allows operators to temporarily save transactions for later processing when they log out of the POS.

This functionality provides a convenient way for operators to save their work and resume it later.

Path: Enactor POS > Operator logout (automatic)


Store by User Procedure

  1. From the Sale screen, with items in the basket, log out of the POS using the operator logout function.
  2. The POS automatically stores the in-progress transaction against the operator's user account.
  3. The basket is cleared. The stored transaction will be recalled automatically when the operator next logs in.

Store by User - In-Progress Transaction - when the operator logs out with items in the basket, the POS automatically stores the transaction against the operator's user account.

Recall by Receipt

The Recall by Receipt function enables operators to recall transactions that have been stored by receipt.

This feature prompts the operator to scan the transaction ID stored in the receipt.

This functionality allows operators to retrieve and resume transactions that have been temporarily saved using the Store by Receipt function.

Path: Store / Recall Options > Recall Transaction


Recall by Receipt Procedure

  1. From the Sale screen, ensure the basket is empty.
  2. Select Sales from the function buttons, then select More, followed by Store / Recall Options.
  3. Select Recall Transaction. The POS prompts the operator to scan or enter the transaction ID.
  4. Scan the transaction ID barcode from the stored receipt or enter the transaction ID manually.
  5. The stored transaction is recalled and the basket is repopulated with the stored items. Proceed to complete the transaction normally.

Recall by Receipt - Store / Recall Options - navigate to Sales > More > Store / Recall Options and select Recall Transaction to begin the recall process.

This completes the Recall by Receipt procedure.


Recall by User

The Recall by User function enables transactions to be automatically recalled by user upon login.

This feature allows operators to access transactions that were previously stored automatically when they log in to the POS.

This functionality provides a convenient way for operators to review their work and resume transactions from where they left off.

Path: Enactor POS > Operator login (automatic)


Recall by User Procedure

  1. Log in to the POS using your operator credentials.
  2. If a transaction was automatically stored against the operator's user account upon the previous logout, the POS automatically recalls the stored transaction.
  3. The basket is repopulated with the stored items. Proceed to complete the transaction normally.

Recall by User - Transaction Recalled on Login - when the operator logs in, the previously stored transaction is automatically recalled and the basket is repopulated.

This completes the Recall by User procedure.


Receipts

Receipt functions allow operators to:

  • Reprint recent transactions
  • Reprint older transactions from archive
  • Select items for gift receipt
  • Request transaction for gift receipt
  • Request tax receipt
  • Request email receipt

Path: Enactor POS > Sale > Sales > Receipts


Reprint Recent

The Reprint Recent function enables operators to reprint recent transactions.

This function prompts the operator to select a transaction from a list of recent transactions.

Once a transaction is selected, various printing options are presented on screen for the operator to choose from.

This functionality provides a convenient way for operators to reprint receipts or other transaction-related documents.

Path: Receipts > Reprint Recent


Reprint Recent Procedure

  1. From the Sale screen, select Sales from the function buttons, then select Receipts.
  2. Select Reprint Recent. The POS displays a list of recent transactions.
  3. Select the transaction to be reprinted from the list.
  4. A list of printing options is displayed - select the required option (for example, reprint receipt).
  5. The selected document is sent to the printer.

Reprint Archive

The Reprint Archive function enables operators to reprint older transactions.

This function prompts the operator to scan a transaction ID or search for it in the database.

Once a transaction is selected, various printing options are presented on screen for the operator to choose from.

This functionality provides a convenient way for operators to reprint receipts or other transaction-related documents for older transactions.

Reprint Archive Procedure

  1. From the Sale screen, select Sales from the function buttons, then select Receipts.
  2. Select Reprint Archive. The POS prompts the operator to scan a transaction ID or search for it.
  3. Scan the transaction ID barcode or enter the transaction ID manually to search the archive.
  4. Select the transaction from the search results. A list of printing options is displayed.
  5. Select the required printing option (for example, reprint receipt). The selected document is sent to the printer.

Select Items for Gift Receipt

The Gift Receipt function enables operators to select items for gift receipt.

This function prompts the operator to mark items for gift receipt.

Once completed, a Gift tag is attached to the selected items which will generate a gift receipt.

A gift receipt is a receipt that does not show the price of the items but allows the recipient to return or exchange them if needed.

This functionality provides a convenient way for operators to offer customers the option of a gift receipt for selected items.

Select Items for Gift Receipt Procedure

  1. From the Sale screen, add the items to the basket as normal.
  2. Select Sales from the function buttons, then select Receipts, followed by Gift Receipt.
  3. The POS displays the basket items. Select the item(s) to be included on the gift receipt by tapping or selecting them.
  4. A Gift tag is applied to each selected item.
  5. Proceed to tender. Upon completion, a gift receipt is printed alongside the regular sale receipt for the tagged items.

Request Gift Receipt Transaction

The Request Gift Receipt function enables operators to mark the transaction to produce a gift receipt.

This function adds a Gift Receipt Requested tag to the transaction, which produces both a regular sale receipt and a gift receipt.

A gift receipt is a receipt that does not show the price of the items but allows the recipient to return or exchange them if needed.

This functionality provides a convenient way for operators to offer customers the option of a gift receipt for the entire transaction.

Request Gift Receipt Transaction Procedure

  1. From the Sale screen, add the items to the basket as normal.
  2. Select Sales from the function buttons, then select Receipts, followed by Request Gift Receipt.
  3. A Gift Receipt Requested tag is added to the transaction.
  4. Proceed to tender as normal. Upon completion, both a regular sale receipt and a gift receipt are printed for the entire transaction.

Request Gift Receipt Transaction - Tag Applied - the Gift Receipt Requested tag is added to the transaction. Proceed to tender to complete the transaction.

Request Tax Receipt

The Request Tax Receipt function enables operators to request tax receipts.

This function prompts the operator with the message that tax details will be printed on the receipt.

Upon completion, the tax details can be found on the sale receipt.

A tax receipt is a receipt that shows the amount of tax paid for the items, which can be used for tax purposes or claims.

This functionality provides a convenient way for operators to offer customers the option of a tax receipt.

Request Tax Receipt Procedure

  1. From the Sale screen, add the items to the basket as normal.
  2. Select Sales from the function buttons, then select Receipts, followed by Request Tax Receipt.
  3. The POS confirms that tax details will be printed on the receipt.
  4. Proceed to tender as normal. Upon completion, the sale receipt includes the tax details for all items.

Request Email Receipt

The Request Email Receipt function enables operators to request email receipts.

This function prompts the operator to enter the customer's details and adds them to the transaction.

The customer will receive an email with the receipt details.

An email receipt is a receipt that is sent to the customer's email address, which can be used for digital record-keeping or proof of purchase.

This functionality provides a convenient way for operators to offer customers the option of an email receipt.

Path: Receipts > Request Email Receipt


Request Email Receipt Procedure

  1. From the Sale screen, add the items to the basket as normal.
  2. Select Sales from the function buttons, then select Receipts, followed by Request Email Receipt.
  3. The POS prompts the operator to enter the customer's details, including their email address.
  4. Enter the customer's email address and confirm.
  5. The customer's details are added to the transaction. Proceed to tender as normal.
  6. Upon completion, the receipt is sent to the customer's email address.
